Front Desk/Patient Service Coordinator - Pediatrics
A busy pediatric clinic in Burlingame is seeking a friendly, organized, and professional Front Desk / Patient Services Coordinator to serve as the first point of contact for patients and families. This patient-facing role requires strong customer service skills, experience managing high-volume phones, and the ability to maintain a calm, welcoming environment for children and parents.
Schedule & Assignment Details
Minimum 1 year of front desk, receptionist, or scheduling experience
(healthcare, dental, spa, or similar customer-facing environment)
Experience handling high-volume phone calls and scheduling
Strong customer service skills with a friendly, professional demeanor
Ability to multitask and stay organized in a fast-paced environment
Comfort working in a patient-facing role as the first point of contact
Strong verbal communication skills when interacting with parents, children, and staff
Skills & Abilities
Ability to interact with families, staff, and peers while considering age, cultural, and developmental needs
Knowledge of basic medical terminology
Proficiency with computer systems and software relevant to the role
Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication skills
Ability to manage frequent interruptions and changing priorities
Ability to adjust communication style based on the audience
Ability to maintain composure in stressful situations
Key Responsibilities
Greet and welcome pediatric patients and families as the first point of contact
Answer and manage high-volume, multi-line phone calls
Schedule, confirm, and reschedule patient appointments accurately
Route calls, take messages, and respond to inquiries professionally
Check patients in and out, verifying demographics and required documentation
Communicate appointment details, wait times, and clinic procedures clearly
Maintain organized front desk operations, including scanning and filing records
Collaborate with clinical and administrative teams to support efficient patient flow
Maintain a clean, organized, and welcoming front desk and waiting area
Adhere to privacy, confidentiality, and HIPAA guidelines at all times
