As an Operations Support Specialist I in a Blood Center environment, you’ll play a critical role in documentation control, supply and equipment management, and regulatory compliance. Position Overview
We are seeking a reliable and detail-driven Operations Support Specialist I to provide administrative and operational support to the Donor Services team within a fast-paced healthcare environment. This role is essential to maintaining controlled documentation, ensuring critical supply integrity, coordinating equipment maintenance, and supporting compliance with regulatory standards.
The ideal candidate brings experience in healthcare operations, supply chain, or other regulated environments and thrives in a role requiring precision, organization, and independent judgment.
Assignment Details
Pay Rate: $35.00 – $45.00 per hour
Schedule: Monday–Friday
Shift: 7:00 AM – 3:30 PM
Department: Blood Center – Donor Services
Duration: 6-month contract (possible extension)
Location: Palo Alto, California
Key Responsibilities
Maintain and distribute controlled documents across mobile and center locations, ensuring use of current versions
Track and manage inventories of controlled documents, labels, and tags; fulfill orders across multiple sites
Support the Donor Services Critical Supply Verification process by checking shipments and verifying lot numbers, expiration dates, and shipment details
Review package inserts for updates or revisions and obtain required manufacturer certificates
Order and maintain office supplies and equipment, manage par levels, and distribute supplies as needed
Source special-request supplies and equipment by obtaining vendor quotes and coordinating with purchasing
Perform preventative maintenance (PM) on donor services equipment; coordinate vendor PMs and repairs as needed
Troubleshoot and repair equipment when possible; coordinate external repairs for complex issues
Manage bag and kit reporting, including vendor reporting and coordination with Quality & Regulatory Affairs (QRA)
Maintain accurate supply, equipment, and compliance records in both paper and digital systems
Ensure current package inserts and certificates are stored and accessible; retrieve records from offsite storage when required
Assist other Operations Support Specialists with projects and tasks as assigned
Comply with all health, safety, privacy, and security policies, including handling of protected health information (PHI)
Adhere to regulatory requirements and support safe practices in environments with potential exposure to bloodborne pathogens
Minimum Qualifications
Education
High School Diploma or GED equivalent
Experience
1–2 years of experience in operations support, supply chain, materials management, healthcare operations, or another regulated environment (blood bank, laboratory, hospital, or similar)
Experience managing controlled documents, inventories, or regulated supplies
Required Knowledge, Skills & Abilities
Knowledge of general administrative and operational practices
Proficiency with Microsoft Office Suite and standard office equipment
Strong written and verbal communication skills, including correct grammar and documentation practices
Familiarity with basic project management principles
Ability to independently plan, organize, and prioritize work across multiple demands
Ability to interpret and apply policies, procedures, and regulatory requirements
Sound judgment and decision-making skills
Ability to compile, write, and present reports related to operational activities
Ability to communicate effectively using C-I-CARE principles
Strong interpersonal skills and ability to build effective working relationships across departments
